Officer Responsibilities
PRESIDENT
Oversee all meetings of the White House Band Boosters and its Executive Board.
Provide agendas for all aforementioned meetings no later than one week prior to the scheduled event.
Oversee all committees or designate a representative to do so.
Act as liaison between the White House Band Boosters and the Band Director.
Coordinate meetings between the White House Band Boosters and faculty/staff of White House High School when needed.
Countersign any White House Band Boosters checks, as necessary.
PRESIDENT-ELECT (OPTIONAL)
Coordinate all chaperones and volunteers.
Oversee meetings of the White House Band Boosters in the absence of the President.
Coordinate hospitality events in the absence of an Immediate Past President.
IMMEDIATE PAST PRESIDENT (OPTIONAL)
Coordinate all Hospitality events of the White House Band Boosters.
VICE-PRESIDENT
Oversee all fundraising projects for the White House Band Boosters.
Coordinate with the Treasurer for all monies both disbursed and received.
Coordinate with the White House Band Boosters Executive Board for White House Band Boosters involvement in fundraising activities when necessary.
Coordinate with the Public Relations Coordinator to canvas the community.
Designate a chairperson for individual fundraising efforts when necessary.
Oversee White House Band Boosters and White House Band Boosters Executive Board meetings in the absence of the President or President-Elect.
Sign any White House Band Boosters checks, as necessary.
Along with a 2nd White House Band Boosters member, count and verify money collected from concession stand events run by the White House Band Boosters . In the event the Vice President is unavailable, a White House Band Boosters Executive Board officer (excluding the Treasurer) will be responsible for the counting and verification of money collected.
SECRETARY
Take minutes at all White House Band Boosters and White House Band Boosters Executive Board meetings.
Provide a copy of the previous meeting’s minutes for all White House Band Boosters and White House Band Boosters Executive Board meetings to be approved at each meeting.
Provide a copy of the previous meeting’s minutes to be viewed electronically on the WHBOP’s website (or other Social Media platform) no later than one week after the meeting has taken place.
Review all correspondence from the White House Band Boosters prior to publication.
Collect Medical and Permission to Treat forms from all students.
TREASURER
Collect invoices, receipts, and maintain balance(s) of the White House Band Boosters account(s).
Provide a Treasurer's Report and account statement(s) for each meeting of the White House Band Boosters .
Provide a Treasurer's Report and account statement(s) for each meeting of the White House Band Boosters Executive Board.
Account statement(s) will be initialed by each officer of the White House Band Boosters Executive Board after review.
Provide monthly copies of the Treasurer's Report and account statement(s) to be viewed electronically through the WHBOP’s website (or other Social Media platform).
Provide a receipt of final collection for each fundraiser.
Provide receipts to parents/students when needed.
Coordinate the collection, verification and depositing of money from each concession stand event run by the White House Band Boosters.
CO-TREASURER (OPTIONAL)
Assist and learn the Treasurer position to assume duties of Treasurer in subsequent year.
Collect and verify all monies turned in from fundraisers.
Provide financial reports and a final receipt to the individual fundraising coordinator(s) and the Vice-President after each fundraising event.
Provide cash boxes for fundraising events where necessary.
Establish a protocol for delivery and pick-up of money for all fundraising events.
Be responsible for all disbursements of the White House Band Boosters.
Coordinate with the Treasurer to maintain account records of the White House Band Boosters.
Collect, verify and deposit money from each concession stand event run by the White House Band Boosters.
Must be done with the Treasurer so that all totals can be verified, and so that there are two people to take the collections to the night deposit.
Maintain Kroger Cares program and coordinate with the Treasurer for disbursement of revenue.
PUBLIC RELATIONS COORDINATOR
Maintain the WHBOP website (and/or current Social Media platform).
Publish meeting minutes, budgets, financial statements, calendars and other vital information through the WHBOP website (and/or current Social Media platform).
Coordinate with the Band Director to oversee corrThereespondence through Print Media.
Oversee or delegate cataloging of band activities throughout the year.
CONCESSIONS MANAGER (OPTIONAL)
Oversee the operation of the concession stand.
This includes purchasing, staffing and managing concession stand events.
